This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform (Dormot Core/Nexus, GuestPass, Docs, Grid), our website (Dormot.io), and related services.

By accessing or using Dormot, you agree to the terms of this Privacy Policy.

1. Information We Collect

Personal Information (provided directly by you):

  • Contact details: name, email address, phone number, postal address.
  • Account details: username, password, role (e.g., resident, property manager, admin).
  • Payment details: card, bank account, or other transaction information.
  • Property details: addresses, ownership/tenancy information, lease documents, maintenance records.
  • Messaging preferences: communication choices (email, SMS, WhatsApp).

Automatically Collected Information:

  • Usage data: pages visited, actions taken, time spent, search queries.
  • Device and network information: IP address, browser type, operating system, device type.
  • Cookies & tracking technologies: used for authentication, analytics, and service improvement.

2. How We Use Your Information

We process information for the following purposes:

  • Service delivery: to operate and maintain your hub, process payments, manage invoices, and enable communication between residents and managers.
  • Communications: to send service updates, payment reminders, invoices, and support messages via email, SMS, or WhatsApp.
  • Personalisation: to tailor dashboards, recommendations, and notifications.
  • Security & compliance: to prevent fraud, enforce terms, and comply with legal obligations.
  • Product improvement: to analyse trends, track feature usage, and improve system performance.

3. Sharing Your Information

We may share your information in these cases:

  • Service Providers: with trusted partners who provide hosting, payments (e.g., Paystack, Stripe), messaging (e.g., Termii, WhatsApp), analytics, or customer support.
  • Legal compliance: if required by law, regulation, or valid legal process.
  • Business transfers: if Dormot is involved in a merger, acquisition, or sale of assets.
  • With consent: if you explicitly authorise us to share data with a third party.

We do not sell or rent personal data to marketers.

4. Data Storage & Security

  • • Each hub includes 1GB of storage. Additional storage is available for a fee.
  • • Data is encrypted in transit (TLS) and at rest.
  • • We apply access controls and role-based permissions to protect sensitive data.
  • • Despite safeguards, no system is completely secure; we cannot guarantee absolute protection.

5. Your Rights

Depending on your location (e.g., under GDPR in the EU/UK or NDPR in Nigeria), you may have rights to:

  • Access & correction: update your account details via settings.
  • Deletion: request deletion of your data, subject to legal/contractual requirements.
  • Portability: request a copy of your data in a machine-readable format.
  • Opt-out: unsubscribe from marketing emails or adjust messaging preferences.
  • Cookies: manage via browser settings.

6. Cross-Hub Accounts & Visibility

  • • Your Dormot account is unique and linked to your email address. You cannot register multiple accounts under different names with the same email.
  • • If you are invited to another hub or company on Dormot, your existing account will be used to grant you access.
  • • When this happens, limited information (such as your name and email address) may be visible to the hub admin to confirm your identity.
  • • Other personal details (e.g., address, phone, next of kin, payment information) remain private and are only visible within the hub(s) where you are an active member.

7. International Data Transfers

Dormot operates globally. Your data may be transferred and processed outside your home country. Where required, we ensure safeguards (e.g., standard contractual clauses) are in place to protect your information.

8. Third-Party Links

Dormot may include links to third-party websites. This Privacy Policy does not apply to those sites. Please review their privacy policies before providing personal information.

9. Children's Privacy

Dormot services are not intended for children under 16. We do not knowingly collect personal information from children.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If changes are significant, we will notify you via email or in-app notification. Updated policies are effective immediately upon posting.
